Generic systems diagram for shop, fulfilment, and notification connections. Not a client store screenshot.

Business problem

Orders, stock, and fulfilment lived in separate places. The team was copying data between the shop and warehouse tools, which made it easy for stock and shipping status to drift.

What needed to happen

The architecture below is the designed system, not a live demo.

What I built

Shopify remains the storefront and source of checkout. Webhooks and scheduled jobs move orders and inventory between the shop, fulfilment, and notification tools. Exceptions surface for the team instead of sitting in a spreadsheet.

How it works

The shop and fulfilment stack share one operational picture. Manual re-keying is reduced; exceptions are handled as exceptions.

Shop, orders, and fulfilment
  1. 01 Shopify Storefront, checkout, orders
  2. 02 Sync jobs Webhooks and schedules
  3. 03 Fulfilment Warehouse and shipping
  4. 04 Notifications Email and ops alerts

Technical detail

  • Shopify Admin APIs and webhooks for orders, inventory, and fulfilment events
  • Scheduled jobs for reconciliation where webhooks are not enough
  • Metafields for operational data the theme and integrations both need
  • Email or ops notifications when a sync or fulfilment step fails

What shipped

  • Order sync from Shopify into fulfilment
  • Inventory updates back to the storefront
  • Fulfilment status reflected for the customer-facing shop
  • Fewer manual copy-paste steps between systems

Technology
